Signs your QuickBooks file needs a bookkeeper
QuickBooks is only as good as what goes into it. These are the problems I see most often when a file lands on my desk.
Uncategorized and Ask My Accountant keep growing
Every transaction you weren’t sure about went to Uncategorized Expense or Ask My Accountant, and that pile is now bigger than some of your real accounts.
The bank feed is a wall of “For review”
Hundreds of transactions waiting to be matched, a few of them probably duplicated, and no free afternoon to sit down with them.
The reconciliation doesn’t match the statement
The balance is off and nobody can say when it started. Every month it sits, the difference gets harder to trace.
Payments to deposit won’t clear
Customer payments recorded but never matched to the deposit (it used to be called Undeposited Funds), so income looks bigger or smaller than it really is.
Opening Balance Equity has a number in it
Usually a sign something was set up or adjusted without the other side of the entry. Your CPA will ask about it, probably in April.
You don’t trust the reports
The profit and loss says you made money and the bank account disagrees. Until the file is clean, every report is a guess.
What do QuickBooks bookkeeping services include?
A QuickBooks bookkeeping service does the monthly work inside your file, so the numbers are right whenever you, your CPA or a lender look at them. With Perfectbooks, that covers all of this.
Bank feed review and categorization
Every transaction matched or categorized each month, with bank rules for the routine ones so they don’t need a decision every time.
Bank and credit card reconciliations
Each account reconciled to its statement inside QuickBooks every month, so the books and the bank agree.
Journal entries
The adjustments a bank feed can’t make on its own, like splitting a loan payment between principal and interest.
Chart of accounts cleanup
Duplicate and unused accounts merged or retired, and the structure set up around how your business actually spends money.
Three monthly financial reports
Reports built from a reconciled file, so they show where the business really stands each month.
Payroll and 1099 support
Payroll prepared on the platform you already use, and contractor payments tracked so 1099 totals are ready in January.
Need a one-time fix instead of a monthly service? QuickBooks cleanup and catch-up is available on its own.

Get my file looked atHow does QuickBooks job costing work for contractors?
In QuickBooks Online, job costing means tying every cost and every invoice to the job it belongs to, then reading a profit report for each job. The tools depend on your subscription. Higher tiers include Projects, which pulls income, costs and labor for each job into one view. Other setups track jobs with customers, sub-customers or classes.
Either way, it only works if costs get tagged when they’re entered. Tagging them months later from memory is how a job that lost money ends up looking fine.
I set this up for construction clients and keep it running every month. For the rest of the picture, from retainage to paying subs, see construction bookkeeping.
Job costing in QuickBooks, step by step
How a contractor’s file should be set up.
Set up each job
A project or sub-customer for every job, so costs have somewhere to land.
Tag costs at the source
Bills, expenses and timesheets assigned to the job when they’re entered, not months later.
Invoice against the job
Progress invoices and approved change orders recorded on the same job.
Read profitability monthly
A job profit report shows which jobs made money, while there’s still time to fix the next bid.
QuickBooks bookkeeping for 1099 workers and solo businesses
If you work for yourself, your QuickBooks file is usually simpler than a contractor’s, but the stakes at tax time are personal. Mixed business and personal spending, expenses dropped into the wrong category and a year of income nobody set aside taxes for are what turn April into a surprise.
For solo businesses, monthly bookkeeping keeps business and personal transactions apart, puts every expense where your CPA expects to find it, and gives you a clear profit number each month. That way you’re not guessing when quarterly estimated taxes come due. I don’t give tax advice, but clean books make that conversation with your CPA short and easy.
For a solo business with modest volume, per-transaction pricing keeps the cost low, and if you’re also due an individual return, I prepare those too, from $50.
What do QuickBooks bookkeeping services cost?
Monthly bookkeeping is priced per transaction, so a quiet month costs less than a busy one. You get an exact price on the free consultation before any work starts.
Bookkeeping Essentials
Bank feed, reconciliations, journal entries, chart of accounts upkeep and three monthly reports in your QuickBooks file.
Full-Service Bookkeeping
Your QuickBooks file, fully handled every month. We’ll go through exactly what’s included on your consultation.
Cleanup and Catch-Up
For a file that’s behind or tangled, scoped up front. See cleanup and catch-up.
A transaction is one line on your bank or card statement, so 150 a month on Essentials is about $112.50. Payroll is your software’s cost plus $50 and $5 per employee. Your QuickBooks subscription stays in your name and is billed by Intuit separately. See the full price list.

Which QuickBooks Online plan does your business need?
The cheapest plan that does what your business needs, and no more. Most of the decision comes down to how many people need access, and if you track jobs or inventory.
Simple Start
Fine for a solo business or 1099 worker with straightforward income and expenses who doesn’t need to track jobs.
Essentials
Adds users and lets you put employee time on invoices. A fit for service businesses that bill for hours.
Plus
Adds project profitability, inventory, and classes and locations. This is where job costing for most contractors starts.
Advanced
Advanced project financials and unlimited classes and locations, for larger teams with more complex reporting.
Plan features from Intuit’s QuickBooks Online pricing page, checked October 2026. Plans and prices change, so we’ll confirm the right one for you on the consultation, and I won’t push you into a bigger plan than you need.
Do I need a bookkeeper if I use QuickBooks?
Not always. QuickBooks records what you give it, but it doesn’t decide where a transaction belongs or notice when something’s off. Here’s where the difference shows up.
| The job | Doing QuickBooks yourself | A certified QuickBooks bookkeeper |
|---|---|---|
| Categorizing the bank feed | Your best guess, when there’s time | Done every month, with rules for the routine ones |
| Reconciliations | Often skipped, then hard to catch up | Every account, every month |
| Fixing past mistakes | Hard to spot from the inside | Found and corrected in cleanup |
| Job costing for contractors | Usually not set up | Set up per job, read monthly |
| Reports for a lender or CPA | Take a weekend to trust | Ready when they ask |
| Your evenings | Spent in QuickBooks | Yours again |

QuickBooks bookkeeping, answered
How much do QuickBooks bookkeeping services cost?
Monthly bookkeeping is $0.75 per transaction for Essentials or $1.00 for Full-Service, and cleanup is $50 an hour. Your QuickBooks subscription itself is billed by Intuit. You get an exact price on the free consultation.
Does QuickBooks offer its own bookkeeping service?
Yes. Intuit sells a Live Bookkeeping service inside QuickBooks Online. With Perfectbooks you work with one local, certified bookkeeper who knows your business, contractor books included, and who also works in Xero and Digits if you ever switch.
Can you fix a messy QuickBooks file?
Yes. Uncategorized transactions, failed reconciliations, duplicates and old mistakes get sorted out first, then monthly bookkeeping keeps the file clean. The details are on the cleanup and catch-up page.
Will I still own my QuickBooks file?
Always. The subscription and the file stay in your name. You invite me as your accountant user, and you can remove that access whenever you like.
Do you only work in QuickBooks?
No. QuickBooks is where most small businesses start, but I’m also certified in Xero and Digits, so we can stay where you are or move to whichever fits your business better.
Can my CPA have access to my QuickBooks file too?
Happily. Your CPA can have their own access to the file, and at tax time they get reconciled books and clean reports instead of a cleanup project.
Can you take over a QuickBooks file another bookkeeper set up?
Yes. I start by reviewing how the file was set up, the chart of accounts, bank rules and recent reconciliations, and fix anything that’s off before taking over the monthly work. You keep the same file, so your history stays intact.
Can you set up QuickBooks for a new business?
Yes. We’ll pick the right plan, set up the chart of accounts around how your business spends money, connect your bank and card feeds, and, for contractors, set up job tracking from day one, so there’s never a mess to clean up later.
What do you need from me each month?
Very little once the file is set up. Your bank and card feeds come into QuickBooks on their own. I’ll send a short list of anything I can’t place, like a transfer to a person or a large deposit, and ask for receipts only when a transaction genuinely needs one.
